What we collect
We only collect what we need to reply to you and do business with you:
- Contact form: your name, email address and message (required), and your phone number and restaurant name if you choose to give them.
- Email and phone: whatever you include when you contact us directly.
- Technical data: when you load any web page, your browser sends your IP address and basic device and browser details. Our hosting and media providers (listed below) receive this to deliver the site and keep it secure. We do not use it to identify or track you.
We do not use analytics, advertising or tracking tools, and we do not set cookies. See our Cookie Policy.
Why we use it and our lawful basis
- To reply to your enquiry and discuss possible work: our legitimate interest in responding to people who contact us, or steps you have asked us to take before entering into a contract.
- To deliver work if you become a client: performance of our contract with you or your business.
- To keep records we are required to keep (for example for tax and accounting): legal obligation.
- To run and secure the website: our legitimate interest in operating a working, secure site.
We do not send marketing emails, sell your information, or use it for automated decision-making or profiling.
Who we share it with
We use these service providers, who process information on our behalf:
- Formspree: receives contact form submissions and forwards them to us by email.
- Google (Gmail): our email provider.
- Vercel: hosts this website.
- Cloudinary: stores and delivers the images and videos on this website.
We may also share information if the law requires it, or with professional advisers such as accountants.
International transfers
Some of these providers process data outside the UK, including in the United States. Where that happens, we rely on the safeguards UK data protection law requires, such as UK adequacy regulations or the International Data Transfer Agreement or Addendum.
How long we keep it
- Enquiries that do not lead to work: deleted within 12 months of our last contact.
- Client records: for as long as we work together, then for up to 6 years for legal, tax and accounting purposes.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct it or delete it
- object to or ask us to restrict how we use it
- ask us to transfer it to you or another organisation
To use any of these rights, email vtcollectiveltd@gmail.com. We will reply within one month.
If you are unhappy with how we have handled your information, you can complain to the UK data protection regulator, the Information Commission (known as the ICO), at ico.org.uk (opens in a new tab) or on 0303 123 1113. We would appreciate the chance to sort it out first.
Changes to this policy
If we change how we use personal information, we will update this page and the date at the top.
